Privacy Policy

This Privacy Policy is issued in compliance with the Digital Personal Data Protection Act, 2023 ("DPDPA") and applicable rules thereunder. It governs the collection, use, storage, sharing, and protection of Personal Data by QuantumIntegrated Machines in connection with QIM Academy. By registering for any QIM Academy Programme, you acknowledge that you have read, understood, and consent to the practices described in this Policy.

1. Identity of the Data Fiduciary

1.1 For the purposes of the DPDPA 2023, QuantumIntegrated Machines Private Limited (CIN: U26103TS2026PTC209447), a company incorporated under the Companies Act, 2013, having its registered office at Innov8, Pranava Business Park, 7th Floor, Plot No. 17, 20, 21, 22, 24, 25, 50, 51, Survey No. 29 to 33, Kondapur, Kothaguda, Telangana – 500084, is the Data Fiduciary in respect of all Personal Data collected through QIM Academy — that is, the entity that determines the purpose and means of processing your Personal Data.

1.2 References to "we", "us", or "our" in this Privacy Policy refer to QuantumIntegrated Machines.

1.3 References to "you" or "your" refer to the Data Principal — the individual whose Personal Data is being processed.

2. Scope and Applicability

2.1 This Privacy Policy applies to all Personal Data collected from individuals who interact with QIM Academy through our website, registration forms, email communications, Programme sessions, or any other touchpoint operated by QuantumIntegrated Machines.

2.2 This Policy does not apply to third-party websites, platforms, or services that may be linked to or used in conjunction with QIM Academy. You are advised to review the privacy policies of such third parties independently.

3. Definitions

3.1 "Personal Data" means any data about an individual who is identifiable by or in relation to such data, as defined under the DPDPA 2023.

3.2 "Data Principal" means the individual to whom the Personal Data relates — in this context, the Participant or prospective Participant.

3.3 "Data Fiduciary" means QuantumIntegrated Machines, which determines the purpose and means of processing Personal Data.

3.4 "Data Processor" means any entity that processes Personal Data on behalf of QuantumIntegrated Machines, such as our hosting or payment providers.

3.5 "Processing" means any operation performed on Personal Data, including collection, storage, use, disclosure, sharing, transfer, and deletion.

3.6 "Consent" means a free, specific, informed, unconditional, and unambiguous indication by the Data Principal of their agreement to the processing of their Personal Data for a specified purpose.

4. Personal Data We Collect

4.1 We collect the following categories of Personal Data when you register for or interact with QIM Academy:

  • Mandatory: Full name; email address; educational or professional background; course track selected.
  • Optional (if voluntarily provided): Institution or company name; personal goals or message submitted at registration.

4.2 We limit our collection to the Personal Data reasonably necessary for the purposes set out in this Policy. We do not collect financial account information, biometric data, health or medical data, information concerning sexual orientation, religious or political beliefs, or government-issued identification numbers.

4.3 Payment card information is not collected or stored by us. All payment transactions are processed entirely by our authorised third-party payment processor, governed by their own privacy and security policies.

4.4 We collect only such Personal Data as is necessary for the purposes stated in Clause 5 of this Policy. We do not collect Personal Data in excess of what is required for those purposes.

5. Purposes of Processing and Legal Basis

5.1 We process your Personal Data for the following purposes, on the following legal bases:

  • Contractual Necessity: To process your registration and confirm enrolment; to send payment instructions and onboarding materials; to deliver Programme content, session links, calendar invites, and recordings; to issue your QIM Academy completion certificate; to respond to support and enquiry communications.
  • Legitimate Interest: To send cohort updates, operational announcements, and schedule changes that are reasonably necessary for Programme administration.
  • Consent: To send marketing and promotional communications, as described in Clause 6 of this Policy.

5.2 We will not process your Personal Data for any purpose other than those stated above without your prior written consent, except where required or permitted by applicable law.

6. Marketing Communications and Consent

6.1 Marketing communications are sent only where you have given separate, optional consent by ticking the dedicated marketing opt-in checkbox at registration. This consent is free, specific, informed, and unambiguous, and is not a condition of registering for or participating in any Programme. Where you have opted in, QuantumIntegrated Machines may contact you with the following categories of communications:

  • Announcements regarding upcoming QIM Academy cohorts and new Programme tracks;
  • Company updates, research milestones, and news from QuantumIntegrated Machines;
  • Quantum computing and quantum technology industry news, events, and opportunities relevant to your professional development;
  • Exclusive offers, discounts, or early access opportunities for past and prospective Participants.

6.2 You may withdraw your consent to marketing communications at any time, without cost, by:

  • clicking the "Unsubscribe" link contained in any marketing email we send; or
  • sending a written request to contact@qimacademy.com.

6.3 Withdrawal of consent to marketing communications will not affect: (a) the lawfulness of processing carried out prior to withdrawal; or (b) the continued delivery of transactional and operational communications necessary for your enrolment and Programme participation.

7. Data Sharing and Disclosure

7.1 We do not sell, rent, trade, lease, or otherwise commercially disclose your Personal Data to any third party for their own marketing or commercial purposes.

7.2 We may share your Personal Data only in the following limited and specified circumstances:

  • Authorised Data Processors: Netlify Inc. — our website hosting and secure registration form processing provider; and our authorised payment processor — engaged solely to facilitate and complete your payment transaction.
  • Legal and Regulatory Compliance: We may disclose your Personal Data to courts, tribunals, regulators, law enforcement agencies, or other governmental or statutory authorities where required by law, court order, or legal process, or where we have a good-faith belief that such disclosure is necessary to protect our legal rights, prevent fraud, or ensure the safety of any person.
  • Business Transfers: In the event of a merger, acquisition, restructuring, or sale of all or a substantial part of QuantumIntegrated Machines' business or assets, your Personal Data may be transferred to the successor entity, subject to equivalent data protection obligations.

7.3 All Data Processors engaged by us are bound by data processing agreements that obligate them to process your Personal Data only on our documented instructions and in accordance with applicable data protection law.

7.4 We do not transfer your Personal Data outside India except where technically necessary for the operation of our authorised service providers, and only in accordance with the requirements of the DPDPA 2023 and applicable rules and frameworks governing cross-border data transfers.

8. Data Retention

8.1 We retain your Personal Data only for as long as is necessary to fulfil the purposes for which it was collected, including:

  • for the duration of your participation in the Programme; and
  • for a period of 2 years following the conclusion of your cohort, for the purposes of certificate verification, audit, and support.

8.2 Personal Data retained for legal, regulatory, or dispute resolution purposes may be retained for such additional period as is required by applicable law or as is necessary to resolve any outstanding claim.

8.3 Upon expiry of the applicable retention period, your Personal Data will be securely and irreversibly deleted or anonymised, such that it can no longer identify you.

9. Data Security

9.1 We implement industry-standard technical, administrative, and organisational security measures to protect your Personal Data against unauthorised access, use, disclosure, alteration, loss, or destruction, including:

  • HTTPS encryption for all data transmissions between your device and our website;
  • secure registration form processing via Netlify's infrastructure;
  • strict internal access controls, limiting Personal Data access to authorised personnel with a legitimate operational need.

9.2 No method of transmission over the internet or electronic storage is completely secure. While we apply commercially reasonable security measures, we cannot guarantee absolute security of your Personal Data.

9.3 In the event of a Personal Data breach that is likely to result in harm to your rights or interests, we will notify you and the Data Protection Board of India (once constituted and operational) in accordance with our obligations under the DPDPA 2023 and applicable rules.

10. Rights of Data Principals

10.1 Under the DPDPA 2023, you have the following rights as a Data Principal, which you may exercise at any time by contacting our Grievance Officer as set out in Clause 11:

  • Right of Access: You have the right to obtain a summary of the Personal Data we hold about you and the processing activities we carry out in relation to your data.
  • Right to Correction and Completeness: You have the right to request correction of inaccurate or incomplete Personal Data that we hold about you.
  • Right to Erasure: You have the right to request erasure of your Personal Data that is no longer necessary for the purpose for which it was collected, subject to our legal retention obligations and any overriding legitimate grounds for continued processing.
  • Right to Grievance Redressal: You have the right to have any grievance relating to the processing of your Personal Data addressed by our Grievance Officer within the timelines prescribed under applicable law.
  • Right to Nominate: You have the right to nominate another individual to exercise your data rights on your behalf in the event of your death or incapacity.
  • Right to Withdraw Consent: Where our processing of your Personal Data is based on your consent, you have the right to withdraw that consent at any time. Withdrawal will not affect the lawfulness of processing carried out prior to withdrawal.

10.2 We will respond to all valid requests within such timelines as are prescribed under the DPDPA 2023 and applicable rules. We may ask you to verify your identity before processing your request.

11. Grievance Officer

11.1 In accordance with the Digital Personal Data Protection Act, 2023, QuantumIntegrated Machines Private Limited has designated a Grievance Officer to address data protection concerns and complaints from Data Principals:

11.2 If you are not satisfied with the resolution provided by the Grievance Officer, you may escalate the matter to the Data Protection Board of India once it is constituted and operationalised under the DPDPA 2023.

12. Cookies and Tracking Technologies

12.1 Our website does not deploy advertising cookies, behavioural tracking scripts, retargeting pixels, or third-party analytics cookies of any kind.

12.2 Google Fonts is loaded from Google's content delivery network (CDN) solely for the purpose of rendering typographic elements on our website. In this process, your IP address may be transmitted to and processed by Google's servers, subject to Google's Privacy Policy. No Personal Data beyond your IP address is shared in this context, and no data is used for advertising or tracking purposes by us.

12.3 We do not build advertising profiles, track your behaviour across third-party websites, or use any form of cross-site tracking technology.

13. Children's Personal Data

13.1 QIM Academy Programmes are designed for and open to individuals who are at least 18 years of age. We do not knowingly market to, solicit, or collect Personal Data from children under the age of 18.

13.2 If we become aware that we have inadvertently collected Personal Data from an individual under 18 years of age without appropriate parental or guardian consent, we will take immediate steps to delete such data from our records.

13.3 If you have reason to believe that a minor's Personal Data has been submitted to us without appropriate consent, please notify us immediately at contact@qimacademy.com so that we can take appropriate action.

14. Changes to This Privacy Policy

14.1 We reserve the right to update or amend this Privacy Policy at any time to reflect changes in applicable law, our data handling practices, or the Services we offer.

14.2 Material changes to this Privacy Policy will be communicated to registered Participants by email at least 7 days before the amended Policy takes effect.

14.3 The "Last Updated" date at the top of this Policy reflects the most recent revision. Your continued use of QIM Academy's Services after the effective date of any updated Privacy Policy constitutes your acceptance of the changes. We encourage you to review this Policy periodically.
